Position: Real Estate Assistant

Job Description: Selling Eastside RE LLC, a premier real estate agency specializing in the Bellevue and Kirkland markets, is seeking an experienced Real Estate Assistant to join our team. As a Real Estate Assistant , you will be Responsible for performing a variety of administrative and support duties to help the agent keep on track to increase business, improve profitability, and develop life-long clients.
Requirements:
- Completion of KPA Behavioral Assessment (provided by Selling Eastside RE LLC).
- Submission of a current resume outlining relevant experience and qualifications.
- Active real estate license in Washington state.
- Prior experience in real estate sales or a related field preferred.
- Familiarity with Bellevue and Kirkland neighborhoods and amenities.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Flexibility to accommodate client schedules, including evenings and weekends.
- Willingness to participate in specific job training classes, webinars, and other professional development activities as required by Selling Eastside RE LLC.
Daily Musts:
- - Receive agent’s daily schedule
- - Handle all incoming phone calls
- - Handle all incoming emails
- - Fill out Daily Meeting form at the end of the day
- - Communicate with agent
- - Go through each active file folder
Duties:
- - Handle all incoming phone calls promptly
- - Manage incoming emails and respond in a timely manner
- - Prepare pre-list, listing, and file folders
- - Maintain organized and orderly client files
- - Send out pre-list/FSBO packages
- - Monitor and follow up on all sales/escrows/closing files
- - Manage business supply inventory
- - Monitor website activity
- - Handle checking accounts, deposits, and reconciliations
- - Enter information in QuickBooks
- - Keep track of mileage
- - Send out Farm mailings quarterly
- - Send out Holiday Cards (Thanksgiving, Christmas)
- - Send follow-up letters to all clients
- - Post new listings on office board
- - Monitor weekly, monthly, and yearly goals
- - Update and maintain all clients’ records in the database
- - Responsible for all data entry and reports
- - Manage all incoming and outgoing correspondence
- - Ask personal people farm for referrals for the agent
- - Maintain and improve Office Policy and Procedure Manual
- - Handle office products, bank, post office, signs (if needed)
Pre-Listings:
- - Deliver or send Pre-Listing Package
- - Confirm date/time of appointment with seller
- - Prepare a New Client File
- - Work on property brochure and Just sold postcards
- - Prepare CMA’s
- - Order property profiles from Title Company
- - Obtain property tax assessor information sheet
- - Prepare the listing folder
- - Fill out and input MLS Input sheet
- - Order 200 Just Listed names of neighbors if applicable
- - Prepare map and directions to property
Listings:
- - Prepare a New Client File and enter all client information in the database
- - Monitor and follow up on all listings
- - Maintain Communication Log
- - Schedule pictures and virtual tour
- - Submit proper information and photos to MLS
- - Post photos and text to all websites
- - Order “For Sale” sign, “text”/QR code sign, and “Sold” rider
- - Email MLS print out to seller and new listing to top 25 agents
- - Work on property brochure and Just sold postcards
- - Order brochures and send a “thank you” letter to seller
- - Obtain keys, make extra keys, and install lockbox with key
- - Ensure sign is ready and placed, put up brochure box with Flyers
- - Monitor that client has enough Flyers and send “Just Listed” letter
- - Update whiteboard and coordinate showings of property
- - Coordinate open houses of property and negotiate price reductions
Upon Receipt of Offer:
- - Present offer to client and negotiate on behalf of client’s best interest
- - Ensure client understands contract including deadlines and costs
- - Obtain estimated settlement sheet from closing office
- - Submit paperwork to lender and title company immediately
- - Update whiteboard and CRM database with transaction information and deadlines
- - Coordinate inspection and appraisal
- - Follow contract deadlines and monitor loan completion
After Receipt of Offer:
- - Put up “Sold” or “Pending” Sign and collect property brochures
- - Prepare Closing File and schedule closing with client
- - Ensure proper documentation and coordinate transferring keys to new homeowner
- - Report Sold to MLS and send “Just Sold” cards
- - Send gift and “thank you for working with our team” letter to client and other agent
- - Put in Anniversary File and send Client Survey
Buyer Clients:
- - Prepare a New Client File and enter all client information in the database
- - Pull up houses in MLS and schedule showing appointments
- - Make copies for clients/Agent and any follow-up calls
- - Maintain Communication Log and send “Congratulation” Letter to buyer
- - Attend Closings and send gift and “thank you for working with our team” letter to buyer
